IpponHQ ("we", "our", "us") provides martial arts studio management software accessible at ipponhq.com and its subdomains. This Privacy Policy explains how we collect, use, and protect information when you use our platform.
2. Information we collect
We collect information you provide directly, including:
- Contact information (name, email address, phone number)
- Account credentials
- Payment information (processed by Stripe — we do not store card numbers)
- Student and guardian profile information entered by studio staff
- Attendance, membership, and billing records
We also collect usage data automatically, including IP addresses, browser type, pages visited, and actions taken within the platform.
3. How we use your information
We use your information to:
- Provide, operate, and improve the IpponHQ platform
- Process payments and send billing notifications
- Send transactional messages (booking confirmations, receipts, reminders)
- Send promotional and marketing communications where you have opted in
- Respond to support requests
- Comply with legal obligations
4. SMS and text messaging
When you or your studio provides a mobile phone number through the IpponHQ platform, you may receive text messages including:
- Account and payment notifications
- Class reminders and scheduling updates
- Belt promotion announcements
- Promotional and marketing messages from your studio
Mobile number and SMS opt-in data will not be shared with or sold to third parties or affiliates for marketing purposes.
Message frequency varies. Message and data rates may apply.
To opt out of SMS messages, reply STOP at any time. To request help, reply HELP. You may also opt out by contacting us at privacy@ipponhq.com.
5. Email communications
We send transactional emails required for the operation of your account. With your consent, we also send promotional emails about new features and offers. You may unsubscribe from marketing emails at any time by clicking the unsubscribe link in any email or by contacting privacy@ipponhq.com.
6. Sharing your information
We do not sell your personal information. We share data only with:
- Service providers who help us operate the platform (Stripe for payments, Resend for email delivery, Twilio for SMS delivery, Azure for hosting)
- Your studio — studio staff can access the data associated with their tenant
- Legal authorities when required by law
7. Data retention
We retain your data for as long as your account is active or as needed to provide services. You may request deletion of your personal data by contacting privacy@ipponhq.com. Upon a verified deletion request, we will remove your data within 30 days except where retention is required by law.
8. Security
We use industry-standard measures including encryption in transit (TLS), encrypted storage for sensitive fields, and role-based access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
9. Children's privacy
Our platform is used by martial arts studios that serve students of all ages, including minors. All data for minors is entered and managed by the studio (account holder) on behalf of the student's parent or guardian. We do not knowingly collect personal data directly from children under 13.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify account holders of material changes by email or in-app notification. Continued use of the platform after changes constitutes acceptance.
